Who we are

The Prize Draw Company is a trading name of Simon Walker, a sole trader registered in England. We help organisations run prize draws as a fundraising and income generation channel.

For the purposes of UK data protection law, Simon Walker is the data controller. If you have questions about how we handle your data, contact us at si@theprizedrawcompany.com.

What data we collect

We collect personal data in the following ways:

  • Readiness quiz (quiz.theprizedrawcompany.com): Your answers, organisation name, email address if provided, and quiz score. This helps us understand your readiness for a prize draw and recommend the right next step.
  • Client engagement: Name, email address, organisation details, and any information you share with us during consultancy work.
  • LinkedIn: If you connect with us on LinkedIn, we may retain your name, job title, and organisation for the purpose of business development.
  • Email correspondence: If you email us, we retain the content of those emails.

Why we collect it (lawful basis)

  • Quiz data: Legitimate interest. We use your quiz answers to provide a personalised recommendation and to understand the types of organisations interested in prize draws.
  • Client data: Contract. We need your details to deliver the consultancy services you have engaged us for.
  • Marketing emails: Consent. We will only send you marketing communications if you have explicitly opted in. You can unsubscribe at any time.
  • LinkedIn data: Legitimate interest. Standard business networking and relationship building.

How we use your data

  • To provide personalised quiz results and recommendations
  • To deliver consultancy services you have engaged us for
  • To send marketing communications you have opted into
  • To improve our services and understand our audience

We do not sell, rent, or share your personal data with third parties for their marketing purposes.

Third party services

We use the following third party services that may process your data:

  • Stripe: Payment processing for consultancy fees. Stripe acts as a data processor and processes payment data under their own privacy policy.
  • Crowdfunder UK: The platform on which prize draws are hosted. Crowdfunder is an independent data controller for entrant data collected through their platform. Their privacy policy applies to data collected on their site.
  • Google Workspace: Email and document storage.
  • Notion: Project management and client delivery.

International transfers

Some of our third party services (Stripe, Google, Notion) are based in the United States. Where data is transferred outside the UK, it is protected by appropriate safeguards including Standard Contractual Clauses and adequacy decisions.

How long we keep your data

  • Quiz data: Retained for up to 24 months, then deleted unless you have become a client.
  • Client data: Retained for 6 years after the end of the engagement (in line with HMRC requirements for business records).
  • Marketing data: Retained until you unsubscribe.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to processing based on legitimate interest
  • Withdraw consent for marketing at any time
  • Request a copy of your data in a portable format
  • Lodge a complaint with the Information Commissioner's Office (ico.org.uk)
